How to migrate a memoQ server
Migrating a memoQ server is a delicate procedure and it needs careful planning before you attempt it.
Before we list the steps of the actual server migration, please make the following preparations.
System requirements.
Make sure that the new server machine and its operating system complies with our recommended system requirements. Please consider future proofing as well, and scale the specifications accordingly:
- Processor: Intel Core i5 or higher required. Intel Xeon recommended.
- Memory: 8 GB required. 16 GB or more recommended.
- Hard disk space: 360 MB for the application, 50 to 100 GB for the data. Data and application can be stored on separate disks. 500 GB or more recommended. Note: For heavy workloads or working with more than 20 users, SAS (Serial-Attached SCSI) disks or solid state disks (SSD) recommended in a RAID-1 (mirrored) or RAID-5 arrangement, with a capacity of 1 TB or more.
- Operating system: • Windows Server 2008 R2 SP1 (this is the minimum), • Windows Server 2012, • Windows Server 2012 R2, • Windows Server 2016, • Windows Server 2019. Note: memoQ server can run on Windows 10 Pro, but we do not recommend using a desktop OS. Microsoft .NET Framework: Version 4.7.2 or higher. You may need to install it manually.
- Microsoft SQL Server: Versions 2008, 2008 R2, 2012, 2014, 2016, or 2017. The Express, Developer, Standard, and Enterprise editions are all supported. Note: By default, memoQ server’s setup program installs SQL Server 2014 Express. To use a different SQL Server edition, you need to install and configure SQL Server before installing memoQ server.
- For using ELM or CAL licenses: TCP port 80 needs to be open both for inbound and outbound requests on the server, and in any firewall you may be using. This port is required for activation traffic. The server must be able to communicate over this port. memoQ server can communicate through a proxy server. A DNS domain name (such as ‘memoq.mycompany.com’) for your server, if you plan to access it over the Internet. Never use the IP address to connect to a memoQ server, and plan the DNS domain name carefully, so that it will not change over time. Using the IP address will cause serious problems when you need to move the server. TCP port 2705 open on the server and any firewalls. This is the main service port: the memoQ server computer must be accessible through this port at all times. Privileges: To install memoQ server, you need to be member of the Administrators group on the server computer.
Plan out the migration in advance
- Downtime
- Please keep in mind that the migration will entail a certain amount of server downtime. The outage lasts from the last backup creation (stopping the server instance) until the server is restored under the new environment. The time needed for this depends on the size of the database and the accumulated data on the current instance. Our support team can give you a rough estimate if needed.
- Test migration
- To make the migration process as smooth as possible, you can perform a test migration. This way, you can eliminate any issues that could appear during the process, before the live production server migration starts.
- Resources, local copy of online projects.
- In order to make the transition seamless for the translators, we recommend the following steps:
- Delete the login to the old server URL in the Manage logins window.
- Unpin the server resources (Translation memories, Termbases, LiveDocs, etc.) in the Resource console.
- Check out new local copies with the new server URL for the unfinished server projects. You can check out a second copy by adding some extra digits to the project name (002 for example).
- In order to make the transition seamless for the translators, we recommend the following steps:
- Inform the vendors and users
- Any communication towards the vendors and users regarding the changes made to the production environment must be handled on the customer's end. Please make sure that you inform your users and vendors in advance.
Migrating the server
Please make sure that you only start this process if you already made all the preparations.
We would also highly recommend that you inform memoQ support before you start the migration so that a support engineer could assist you if needed.
- Stop the memoQ server service on the old server (all work must be stopped at this point).
- Create a full backup package with the memoQ server Deployment Tool (also known as the memoQ server installer) which will include all your resources.
Hint: Learn more about the backup feature here: Backup memoQ server - Transfer the full backup package to the new server where the system prerequisites are already installed.
- Restore all the resources (including memoQ server installation) on the new server, again with the memoQ server Deployment Tool.
Hint: Learn more about the restore feature here: Restore memoQ server - Delete license files on the old server.
Hint: You can locate the license files under C:\ProgramData\MemoQ Server\
Hint: The license files should be named License11.dat, License12.dat, License13.dat, License13B.dat - Reset the licenses and credentials. This is done by a memoQ support engineer. Please contact support at support@memoq.com with the license reset request.
- Activate the memoQ server and make the necessary configurations (i.e. if the server address changes).
- Test if everything works properly, all resources are there, connectivity, etc.
Don't hesitate to contact support at any point of the migration process.
Hint: It is always an option to ask memoQ support to perform the migration for you. Send us an email with your migration request and one of our support engineer will discuss the details with you. Keep in mind that you must provide remote access to the old and the new server environment. For legal concerns, please refer to our EULA.
